From FileMaker and retyping to one flow
A four-storefront beauty company was running wholesale on FileMaker, printouts and re-typed invoices. We built one flow: sales enter an order once, QuickBooks and the warehouse follow, and a Slack bot answers stock questions from the same data.

The situation
Eglobal Beauté runs four storefronts (Skincare Jungle, MO Clinical, Magnolia Orchid, Angel Hayley) from one catalogue. Retail was already on a modern stack we had built: Next.js, Sanity as the product source of truth, Stripe, Clerk.
Wholesale was not. A sales rep created the order in FileMaker, printed it, and handed it to the accountant, who re-typed every line into QuickBooks. The invoice was printed again for the warehouse, who packed, photographed, and logged the shipment back in FileMaker. Three systems, three re-entries, and nobody could answer "how many do we have left?" without a phone call.
What we built
We extended the existing admin rather than buying another tool.
- Wholesale accounts with price tiers (Spa and Agent), payment terms, and tax status, kept separate from the retail loyalty system so nothing leaked between them.
- Sales orders created once, with their own numbering and a clear life: draft, confirmed, fulfilled, closed. Line items snapshot the list price and the tier price at confirmation.
- QuickBooks in one click. Confirming an order creates or reuses the QuickBooks customer, maps every SKU to a QuickBooks item, and raises the invoice. Products, customers and invoices stay in sync.
- Warehouse from the same record. Pick, pack, packing photos (required before an order can be marked fulfilled), carrier and tracking, and a printable packing slip.
- A nightly reconcile that retries failed syncs, checks paid status against QuickBooks, reports drift, and warns before the connection token expires. It only emails when something is worth reading.
- Roles for super-admin, admin and sales, so a rep sees the wholesale surface and nothing else.




Then the AI layer
Once orders, stock and customers lived in one connected place, the AI work became cheap.
- A Slack bot on Claude answers questions like "how much of this product is left?" and "when did this customer last order?" from live data, inside the channel the team already uses.
- Daily social posts. Every morning a scheduled agent picks real product images from Sanity, generates on-brand visuals with Higgsfield, writes captions in the brand's cosmetic-safe voice, and publishes across Instagram, Facebook and LinkedIn.



What changed
- An order is entered once. Accounting and the warehouse work from that record.
- Invoices reach QuickBooks in one click instead of a re-typing session.
- No order ships without packing photos and tracking on file.
- Stock and customer questions get answered in Slack in seconds.
- Social channels stay active every day without anyone opening Canva.
